VENDOR AGREEMENT, RULES & REGULATIONS
You will be required to agree with the following after you have been selected to be a vendor
No vendors shall be permitted to sell within the Indiana Bigfoot Conference until the signed Agreement and Rules & Regulations have been returned and payment has been received by the Indiana Bigfoot Conference Committee. Once the Committee has received all documents needed, a fee of $100 (per requested spot) can be paid on our website: indianabigfootconference.com. After payments have been made, we will finalize your participation.
Vendor Check-In and set up : Friday, September 26th from 9 am to 3 pm
Friday we will be having a Town Hall meeting from 5-7 pm and would love to see vendor tables open during this time. This is not a requirement. However, if you wish to participate you must have your booth ready prior to 4pm Friday, September 26th. If you can not be set up by this time please let us know. The doors will be open to the Public at 4 pm and the Town Hall runs from 5 pm to 7 pm. If you set up and wish to NOT participate in Friday night, please make sure you cover your displays. Indiana Bigfoot Conference Committee, Indiana Bigfoot Research Organization and The Season's Lodge will not be held responsible for any loss or damage during Friday's Town Hall or Saturday's Conference.
Vendors may also set up Saturday, 9 am to no later than noon. If you cannot be set up by this time please let us know. After setting up, vendors must remove all personal items, vehicles from entrance, equipment and any debris from the vendor / loading area. All vendor parking shall be moved to the designated parking lot, located at Season's Lodge after unloading vehicles.
Vendors are responsible for complying with Federal, State, County and Local regulations, licensing and/or labeling requirements and providing documentation of compliance.
Inside spots include an 8x8 space with one 6 foot table & 2 chairs; you are welcome to use additional display items as long as you stay within the boundries of your designated spot. Electric will be provided if you designated the need on your application form; you will need to provide your own extension cord. Please make sure all cords and other items are protected in a manner that prevents a tripping hazard. If your set-up is deemed unsafe, we may require you to reconfigure your set up and make it safe for the conference guests.
Outside will be a 10X10 area with 6 foot table and two chairs. Vendor is responsible for any other items like awnings
Locally grown produce processed, homemade, food/beverage and food trucks may NOT be sold at Indiana Bigfoot Conference. The Season's Lodge does not allow this.
Offensive language, symbols and nudes in products are NOT allowed.
Vendor attire, language, and professional conduct shall reflect adherence to the high standard of a family-friendly event being held at Season's Lodge in Nashville, Indiana.
Indiana Bigfoot Conference Committee reserves the right to prohibit any vendor from selling at the Indiana Bigfoot Conference if it is deemed that there is a failure to comply with any Rules and Regulations set forth. Uncooperative parties will be asked to leave.

1. VENDOR AGREEMENT: The agreement set forth below must be acknowledged and signed electronically by MAY 1, 2025. Failure to return the agreement by this date, will negate your participation in the event.
2. FEES: Upon acceptance of your Vendor Agreement and Rules & Regulations, we will notify you once all documents have been received. A fee of $100 per requested spot is due for your participation with the Indiana Bigfoot Conference. This payment will be made on our website at indianabigfootconference.com via a "VENDOR" tab and payment must be submitted on or before May 20, 2025.
3. CANCELLATION: All fees are final and non-refundable.
4. If all the above are not completed by the appropriate dates, you will be removed from our Vendor List.
ACKNOWLEDGEMENT & WAIVER OF LIABILITY
By purchasing space, the vendor agrees to abide by the Vendor Agreement. All rules will be enforced to maintain a safe and orderly conference. Vendor and all those working or assisting in booth hereby release and discharge, and agrees to indemnify and hold harmless the Indiana Bigfoot Research Organization, Indiana Bigfoot Committee and The Seasons Lodge, as well as their respective employees, agents, and assigns of and from all manner of actions, suits, liabilities, claims, causes of action, and demands of whatever kind and whatsoever, in law or equity for any loss or damage to any person, property, or organization hereof because of, or on account of, the actions or omissions, and for any loss or damage to the vendor’s person and/or property which may occur in connection with the event known as the Indiana Bigfoot Conference 2024.
